12 Month Maternity Cover.
£35,000
Monday to Friday 9am -6pm
Our client is the largest estate agency brand in London and one of the fastest growing in England. A fantastic opportunity has arisen for Office Manager /PA to Director for their Golders Green office, they are looking for a professional and well-presented individual to join their growing sales team. Candidates must have strong IT skills, good time management and communication skills, and the ability to multi-task and work to deadlines.
You will need to possess great communication, administrative and organisational skills with an attention to detail. A positive "can do" attitude will reap its rewards with this position, inspiring clients, and team members. Previous experience working within an Estate Agency would be beneficial, but not essential. They will work alongside the Directors and assist the Sales & Lettings team with all administrative duties in the office. Your duties will include aspects of Sales, lettings, HR, and PA duties. A brief outline below of your duties:
Sales & Lettings:
Terms of business, Valuation & instruction Letters, Sales Memorandums.
Tenancy administration including renewals.
Co-ordinating Move ins-move outs.
Monitoring reports and ensure all tasks are completed.
Deposit registration, releases, and disputes.
Arranging Contractor visits
Preparing Monthly statements & invoices.
Keep up to date with all correspondence and system notes (VECO)
Key management.
Keeping all parties up to date and with all aspects of actions taken, works in progress.
Arranging images and creating brochures.
Uploading properties to Rightmove & Zoopla.
Liaising with agents, drawing up and sending service contracts.
Conduct AML ID checks.
Generating letters and invoices.
Obtaining photo ID and proof of address for vendors.
Working closely with the vendors to ensure all information is obtained.
Liaising with vendors and solicitors regularly.
HR & PA Duties:
Maintaining employee files, ensuring right-tom work compliance, following workflows and updating corresponding systems
Monitoring return to work. Absence compliance, working with managers to ensure compliance across the group.
Supporting the director with Administration, ad hoc reporting, setting up new starters’ leavers.
Assisting director with Invoices, payroll, payroll queries and post payroll process
Drafting employee letters such as confirming pay increases, promotions and references.
Weekly & Monthly KPI figures
PA duties for Directors
Organisation of files
Organised & participate in company marketing events.
Skills Required:
A good team player who is also able to work on own initiative.

Motivated Individual with a proven track record delivering customer service.
Articulated and well spoken with excellent communication skills.
Excellent organisation skills
Computer literate - basic knowledge of Microsoft office
Flexible approach to work
Great interpersonal skills & a high attention to detail
Ability to multitask and prioritise workload.
Adaptable smart appearance
Good humour & a good listener
Working knowledge of Reapit & veco advantageous.
