Department Manager, Property Management - Canary Wharf
A new exciting opportunity has arisen for an experienced department manager for their property management team. You will be based in Canary Wharf and cover properties in Balham, Canary Wharf and Shoreditch, however no need to drive as this is an office based role.
Our client is an established, fully accredited independent estate agency and letting agent with offices strategically located across London. Their primary focus is to provide the highest level of customer service to their clients and ensure that their expectations are always exceeded.
A Department Manager of the entire Property Management Team works closely with the Directors and upper management to communicate and implement the organizations business strategy and growth based on; customer service, and the best interests of landlords, tenants and the business. The department manager will be overseeing a small team constituting of trainee-senior property managers, admin assistants, client services advisors and inventory and maintenance clerks.
Main Duties & responsibilities
Ensure and maintain the highest levels of customer service and care to ensure we remain on track to achieving our goal of becoming "the leading customer service company in our industry"
Motivate lead and manage the property management department
Conduct weekly, monthly and yearly appraisals with team members
Dealing with disputes both internally and externally
Handle complaints effectively and in line with the TPO codes of practice
Act in accordance with the ARLA code of conduct
Identify business opportunities to promote the company’s services
Create, develop and maintain relations with existing clients in pursuit of gaining additional business within Property Management
Keep up to date with industry related current affairs, knowledge, competitors’ and legal matters ensuring that the company remains competitive within the market
Confidently and effectively deal with all escalated Tennant enquiries to completion
Ensuring company records are maintained and updated
Manage and monitor company core property management procedures in relation to all aspects of the tenancy life cycle
Advise Landlords reference the asset disposal and acquisition process
Ensuring that all Health and Safety obligations is adhered to
Approve legal notices for service, amendment of tenancy agreements and client terms of business
Ensure intimate knowledge of the company’s terms of business and standard tenancy agreements
Monitor KPI reports and action any necessary follow ups
Coach and mentor team members ensuring service excellence
Keeping a up-to-date list of suppliers throughout London and vetting and signing up new suppliers on an ongoing basis
Management of financial written business report for accuracy
Ensure that the office duties in reference to Property Management is adhered to
Promote and enhance the company’s intranet system to ensure it is being used for training and communication as well as to build a positive family spirit amongst all staff.

Skills / Experience
5+ Years’ experience within Property Management
Good Knowledge of Property Maintenance
Excellent Knowledge of Deposit Schemes and processes
Extensive Knowledge of Property Management Software Packages
Confident and Articulate
Excellent vocabulary and grammar
Tactful and Diplomatic
Excellent Time management
Previous experience in working in a KPI environment
Sound knowledge of the Property Ombudsman Code of Practice
3 years + Management Experience
Understanding of business processes and their implementation
Complaints handling experience
Excellent problem solving skills
Good understanding of HR and Staff management
Ability to use IT to introduce enhancements and efficiency
Leadership & Motivation skills
Hours: 8:45-6pm Monday to Friday
