The Role
As a Property Services Administrator, you will be an integral member of the Property Services and Tenancy Management team, providing operational and administrative support throughout the tenancy lifecycle.
The role has responsibility for coordinating key tenancy processes, maintaining accurate property and tenancy records, managing companywide service bookings, supporting compliance administration and ensuring important operational deadlines are met.
Working closely with the Tenancy Management, Property Management and wider lettings teams, you will play an important role in ensuring that new deals, renewals, terminations, compliance requirements and third-party services are managed accurately and efficiently. This is a varied and fast-paced role that requires excellent organisation, attention to detail, strong communication skills and the ability to manage multiple competing priorities.

Key Responsibilities
- Manage companywide third-party service bookings for new deals and terminations, including cleans, compliance, inventory check-in and check-outs.
- Maintain accurate records for new deals, renewals and terminations across company systems, trackers and document platforms.
- Support new deal and renewal exchanges across designated offices and follow up on outstanding documentation or delays.
- Monitor booking opportunities and proactively follow up to support conversion across relevant tenancy services.
- Assist with deposit-related administration, including following up on unsigned documentation and ensuring records are stored correctly.
- Distribute inventory check-in and check-out reports to the relevant landlords, tenants and internal teams within required timescales.
- Support end-of-tenancy operations through regular follow-ups, reporting and coordination with managers.
- Prepare and distribute weekly operational updates, move-in and move-out reports, meeting agendas and minutes.
- Liaise with colleagues, tenants, landlords, contractors and suppliers to ensure matters are handled efficiently and professionally.
- Monitor supplier performance and raise concerns where service standards are not met.
- Support departmental projects and contribute to improving processes, efficiency and the overall customer journey.
