- Commercial/Block Management Administrator - St Albans
Salary: £24,000 - £27,000
Monday to Friday 8.45am to 6pm.
Our client is an extremely well established independent estate agency. They are looking for an experienced Block Management Administrator to join their thriving business. This is a great opportunity to join a fantastic office and develop your career. You will be responsible for commercial property portfolio management and administration, block maintenance and commercial agency work.

Knowledge in the following is desirable:
Re-Leased property management system (training provided)
Reapit property marketing system (training provided)
Outlook, Excel, Word.
Duties to include:
Lease Renewals and Rent Reviews.
Liaise and meet with tenants & clients regarding the management of the properties
Register new property and client details on Re-Leased and Reapit.
Maintain accurate digital property files
Chase quarterly rent arrears, service charges and insurance premiums.
Secretarial support duties as Clerk to the Trustees of some of the larger investment portfolio clients.
Attend 3 evening trustee meetings per year and take minutes. Type up minutes & Distribute.
Prepare and circulate Agency Agreements relating to the letting or sale of a property.
Arrange for floorplans and photographs to be undertaken for a new commercial instruction
Compile information for commercial property brochures and arrange for a board at the property
Liaise with applicant and client/tenant to organise appointments for viewings.
Prepare and circulate Heads of Terms relating to the letting or sale of a property.
Ensure all properties have current NDEPC’s.
Log details of all interested applicants on an Excel spreadsheet for each property.
Register new clients on Reapit, obtain identity checks for Anti-Money Laundering purposes.
Arrange viewing appointments and provide viewing feedback to Surveyor.
Arrange for the marketing of properties through Reapit
Prepare adverts & circulate marketing materials
Maintain client & tenant database on Reapit and Re-Leased with changes to contact details.
Raise invoices.
Obtain ID documents for all clients (Anti-Money Laundering).
Keep the Work In Progress and Comm Sales spreadsheets updated weekly.
Key management.
Liaise with clients, tenants and contractors regarding any works to be carried out.
Arrange for the Surveyor to carry out post works inspections, as required.
Liaise with the surveyor regarding property inspections
Obtain regular meter readings
Liaise with the cleaning contractor and ensure works are carried satisfactory.
Organise maintenance & repairs.
Answer the phones and deal with enquiries, take messages for colleagues when required.
Carry out PA duties for the Director’s as required.
Covering of annual leave for direct line staff
